Good fit if

  • You have a large group who need to edit tasks (ClickUp is the pick)
  • You think in boards and have up to ten people (Trello is the pick)
  • You want to self-host with no seat price (OpenProject is the pick)
  • You are a software team replacing Jira (Plane is the pick)
  • You are two people and want the cleanest interface (Asana is the pick)

Not ideal if

  • You need paid-tier features, uptime guarantees or support that these free plans leave out

Free project management software comes in three shapes, and picking the wrong shape costs more than any subscription. The first is the generous hosted free plan, such as ClickUp with unlimited members or Linear with unlimited members but only 250 issues. The second is the small-team plan, such as Asana or Monday, which stops at two seats. The third is open source you host yourself, where OpenProject and Plane have no seat price at all but you own the uptime. Start by counting people who need to edit tasks, not people who just want to look, because seat caps bite on editors. Then count how many projects you run at once and whether you need Gantt charts or only boards and lists. Timeline and dependency views can sit behind a paid tier, so if you plan work with chained deadlines, check that before you migrate. Tracking time or billing clients usually needs another tool whatever you choose. The ten tools below are all usable for free today, each with the limit that applies, so you can match the cap to your team instead of discovering it after your tasks are already loaded. Keep an export of your tasks from day one, because that is your exit if a free plan changes.
