Verdict:Leave Zoho Books when its free tier stops fitting. The free plan covers one user, one accountant and up to 1,000 invoices a year, as long as annual revenue stays under $50K. Below that line, Wave is the closest free swap: its Starter plan costs nothing for invoices, estimates, bills and bookkeeping, but card payments cost 2.9% plus $0.60 each, so a business that takes many card payments should compare the fees first. Invoice Ninja is the better pick if invoicing and time tracking are the whole job, since its hosted plan is free for up to five clients. It does not replace a general ledger, though. GnuCash is the free choice for a person who prefers a desktop program and will enter every transaction by hand, with no bank feeds or online invoicing. Manager's desktop edition has no time or usage limits but supports one user, which rules it out once a second person touches the books. QuickBooks Online is the paid step up: Simple Start lists at $38 a month, against Zoho's $15 Standard plan, so you pay more mainly to match an accountant's existing setup. The practical test is simple. If one person keeps the books and revenue is small, stay free with Wave. If an outside accountant needs a shared file, the cost of QuickBooks may be justified.
